The first time you sign in to a workspace that is not fully set up, a setup wizard opens automatically over the Dashboard. It hand-holds you through the two things every new workspace needs: connecting an AI assistant to your MCP endpoint, and connecting your first MSP tool.

The wizard is role-aware:

  • Managers (the account owner, co-owners, and Administrators) get the full four steps: Welcome → Connect your AI → Add a tool → You're live.
  • Members get a shorter two-step version (Welcome → Connect your AI) that ends by pointing them at their personal connector sign-ins on the Connectors page. Members are only prompted once their workspace already has an MSP tool connected — on a brand-new workspace the Dashboard shows a "setup in progress" note instead.

The wizard is driven by your workspace's real state — it always opens on the first incomplete step, and it stops appearing on its own once setup is done for your role: for managers, when the workspace has both an active connector and an AI connection; for members, when their own AI sign-in is detected.

Step 1 — Welcome

Three choices:

  • Let's go — continue to the next step.
  • Show me around first — closes the wizard and starts the guided portal tour instead (you can reopen the wizard afterward).
  • Maybe later — dismisses the wizard (see "Dismissing and resuming" below).

Step 2 — Connect your AI assistant

This step shows your workspace's MCP endpoint URL with a Copy button, then a picker of AI apps ("harnesses" — the AI application that will call your tools) in three groups based on how each connects:

Paste a credentialAmazon Q, Cline, n8n / Make / Zapier, OtherStackJack's first-run path uses a generated MCP credential. Some of these apps also support an OAuth alternative; their individual setup guides label it as an alternative rather than changing the wizard's path.

Selecting an app shows its short step list. Two helpers appear where relevant:

  • Tool-limit warnings — some apps cap how many tools they accept (VS Code: 128 per request, Copilot Studio: 70 per MCP server, Windsurf: 100). The wizard flags this when you pick one of those apps; the fix is to split access across multiple MCP credentials with restricted tool lists, or switch the connection to a compact catalog mode. (StackJack recognizes some clients on its own: Claude, Claude Desktop, Cursor, and Windsurf by the way the tool identifies itself, and Microsoft 365 Copilot connections by how the connection signs in. For those, a compact catalog is served automatically — once your organization has enabled catalog modes, a recognized client gets its reduced mode; while your organization has never chosen either way, it gets one only when your tool list is large enough to be a problem. An organization that turned catalog modes off keeps the full list on the standard endpoint.   • Generate an MCP credential — for apps in Paste a credential, a link takes managers to the MCP Setup page to create one. Members are told to ask a workspace admin.

Because the sign-in happens in the AI app and your browser — outside the portal — the wizard cannot see it complete on its own. When you have finished in the AI app, come back and select "I've connected — check now": the wizard re-checks your workspace and advances automatically once the connection is detected. You can also Skip and return later.

Members end here. After this step, members see an "all set" card linking to the Connectors page, where the Your personal sign-ins section lets them complete any per-user connector sign-ins their tools require.

Step 3 — Add your first MSP tool (managers only)

A searchable grid of supported connectors. For the tool you want:

  1. Select Set up. The wizard closes and the real connector configuration dialog opens on the Connectors page with your connector pre-selected.
  2. Enter the tool's API credentials and save. (Not sure where to find the credentials in your vendor's product? Select How to connect on the card first — it opens the step-by-step vendor-side setup guide.)
  3. Saving your first connector automatically activates that connector's Free plan — no billing action needed.
  4. After the save, the wizard picks up where you left off: it detects the new connector and advances.

Step 4 — You're live (managers only)

Confirmation that both pieces are in place. This step shows your endpoint URL again, a try-it suggestion for your AI assistant (for example: "list my open tickets"), and shortcut links to the Permissions and MCP Setup pages. Select Done to finish.

Dismissing and resuming

  • Maybe later, the X button, or pressing ESC dismisses the wizard. Clicking outside the dialog does not — the wizard deliberately ignores background clicks so you cannot lose your place by accident. The dismissal is remembered in your browser, so it will not auto-open again on that device.
  • While your setup is incomplete, a Finish setup button stays in the portal header on every page — select it to reopen the wizard at any time (it ignores the dismissal).
  • The Dashboard also shows a setup prompt with a button back into the wizard while setup is incomplete.
  • Reset Tours (bottom of the sidebar) clears the dismissal along with all tour history, so the wizard auto-opens again on your next visit if setup is still incomplete.
  • Once setup is complete for your role (managers: an active connector and an AI connection in the workspace; members: your own AI sign-in), the wizard, the Finish setup button, and the Dashboard prompts all disappear on their own.
